How to use the Quotation Generator

  1. Fill in your business and your client. Tick “Remember my business details” to skip this next time; your logo goes on the PDF.
  2. Add line items with quantities, units and prices. Group them into sections, give single lines a discount, and add optional extras the client can choose.
  3. Set tax (added on top or included in prices), any overall discount, a deposit, the validity period, timeline and terms.
  4. Check the live preview and the “before you send it” list, then download the PDF, print it, or copy it as email text.

What does this tool do?

A quotation tells a client exactly what a job will cost before they agree to it. Good quotes win more work because they're easy to say yes to: the scope is clear, prices are itemised, it's obvious what's optional, and the client knows how long the price holds and what to pay up front.

The generator is built around how quotes are actually used. Sections (Design, Build, Materials) get their own subtotals. Optional extras — a maintenance plan, an upgrade — are shown but left out of the total until you include them, which is an easy way to upsell. Tax can be added on top or extracted from tax-inclusive prices, and a deposit percentage shows the amount due now and the balance.

Every quote is saved in your browser so you can keep several, duplicate one as the next number for a similar job, and come back later. You can also save a quote as a file, export the line items as CSV, or copy the whole quote as plain text for an email. When the client accepts, the Invoice Generator turns the same items into an invoice.

What a winning quote includes

A short scope summary, then the work broken into sections the client recognises, each with quantities and unit prices. State what isn't included, how long the price is valid (14–30 days is typical), the deposit, the timeline and how to accept. The sample quote in the tool follows this structure — replace its text with your own.

Common mistakes

  • Leaving out a validity date, then being held to old prices months later when costs have risen.
  • One lump-sum line. Itemising builds trust and makes it easier to cut scope instead of the whole deal.
  • Not saying whether prices include tax — a 20% difference that causes disputes.
  • Vague scope. List exactly what's included and how many revisions, so extra work can be quoted separately.
  • No next step. Tell the client how to accept and what deposit secures the start date.

Are my client details saved anywhere?

No. Everything stays in your browser. If you tick “Remember my business details”, only your own business details are saved on this device so you don't have to retype them.

What's the difference between a quote and an estimate?

A quote is a fixed price for a defined scope: once accepted, you're expected to do the work for that price. An estimate is a best guess that may change as the job unfolds. If your price could change, call it an estimate and say what would change it.

How long should a quotation be valid?

Commonly 14 to 30 days. Use a shorter period when material prices or exchange rates move quickly, and a longer one for large projects with slow approval. The validity date is calculated and printed on the quote.

Is a quotation legally binding?

A quote is usually an offer; once the client accepts it, it can form a contract on those terms. Rules differ by country, so include clear terms and get written acceptance — the PDF has a signature block for that.

What should a quotation include?

Your details and the client's, a quote number and date, a description of the work, itemised prices with quantities, tax, the total, how long the quote is valid, payment terms (such as a deposit), the timeline and how to accept.

Can I turn the quote into an invoice?

Yes. Once the client accepts, open the Invoice Generator and enter the same line items; your business details are shared between the two tools if you ticked “Remember my business details”.
